Jewellery Inventory Management Software

Stock here is not a quantity column. It is a ledger of movements, and a balance is the sum of the entries that produced it — which is why a difference can always be taken apart and explained rather than argued about.

Five weights on every piece

Gross as it sits on the scale, stone for diamonds and stones converted to grams, other for thread and lac and wax, net for the metal alone, and fine for the pure metal content. All five are carried on the item, on every movement and on every document line — reconciling on a single figure is how other systems drift.

The identity the database enforces

Gross must be at least net plus stone plus other, to a milligram of tolerance for scale rounding. It is a check constraint rather than a form validation, so it holds for the bulk import, the API and the offline sync as well as for the screen. Anything larger than a milligram has to be entered as a formal weight adjustment, which leaves a document behind.

Category, design, product

Three levels rather than a flat item list, so a design can be found, costed and reordered as a design. Barcode and RFID tags, HUID and certificate references travel with the piece through every movement.

Branches, warehouses and audits

Stock is held per branch and warehouse; a transfer between them is a document that posts through the same ledger. A stock audit counts a location and reconciles it against the ledger, and the variance it finds becomes an adjustment with a reason on it.
